Better World Builders is a growing home-performance and construction company based in Kalamazoo, Michigan. We help homeowners improve comfort, energy efficiency, indoor air quality, and the durability of their homes.
We are seeking an experienced, dependable Bookkeeper/Accountant to manage our day-to-day accounting functions and maintain accurate, timely financial records. This position may be performed in-house at our Kalamazoo office or virtually, depending on the candidate's experience, availability, and ability to work effectively with our team.
Key Responsibilities
- Maintain accurate financial records using QuickBooks Desktop
- Manage accounts receivable and accounts payable
- Prepare and send customer invoices
- Record customer payments and follow up on outstanding balances
- Review vendor invoices and prepare payments
- Reconcile bank, credit-card, loan, and other financial accounts
- Process payroll accurately and on schedule
- Maintain payroll records, deductions, and employee information
- Maintain subcontractor records, including W-9s, insurance certificates, agreements, and payment information
- Track subcontractor payments and prepare information needed for 1099 reporting
- Maintain organized supporting documentation for financial transactions
- Assist with job-costing and expense allocation
- Prepare routine financial reports for company leadership
- Coordinate with the company's CPA, payroll provider, insurance professionals, and other financial partners
- Assist with month-end and year-end closing procedures
- Help maintain internal financial controls and protect confidential company and employee information
- Support additional accounting and administrative responsibilities as needed
Required Qualifications
- Demonstrated experience using QuickBooks Desktop
- Experience with accounts receivable and accounts payable
- Experience preparing invoices and tracking customer payments
- Payroll-processing experience
- Experience maintaining vendor and subcontractor information
- Strong understanding of bookkeeping and accounting principles
- High degree of accuracy and attention to detail
- Strong organizational and time-management skills
- Ability to meet deadlines and manage multiple priorities
- Proficiency with Microsoft Excel, Outlook, and other Microsoft 365 applications
- Ability to communicate clearly and professionally
- Ability to handle payroll, employee, customer, and company information with complete confidentiality
- Reliable internet connection and an appropriate confidential workspace if working virtually
Preferred Qualifications
- Associate's or bachelor's degree in accounting, finance, business, or a related field
- Previous accounting or bookkeeping experience with a construction or contracting company
- Familiarity with construction job-costing
- Experience working with subcontractors and project-based billing
- Experience in home performance, weatherization, energy auditing, HVAC, insulation, or energy-efficiency programs
- Experience using a customer relationship management system, or CRM
- Experience working with Builder Prime or a similar construction CRM
- Familiarity with government, utility, rebate, or grant-funded projects
- Experience preparing management reports, budgets, and cash-flow forecasts

Work Arrangement

Compensation
Compensation: $48k to $65k based on accounting experience, construction-industry knowledge, qualifications, and whether the position is structured as full-time or part-time.

Position Summary
We are seeking a highly organized, dependable, and technology-savvy Administrative Assistant to provide administrative, customer service, and technology support to management and the company.
The ideal candidate is comfortable learning new technology, proficient with Android smartphones, and able to troubleshoot common technology issues. The position requires strong organizational skills, attention to detail, professionalism, discretion, and the ability to maintain appropriate workplace boundaries.
Primary Responsibilities
Administrative Support
- Provide excellent customer service to clients, customers, vendors, and other contacts by phone and email.
- Draft project proposals and related documentation, and work with home calibration and energy-savings modeling using SNUGGPro software.
- Use Builder Prime CRM to maintain customer records, project information, communications, and scheduling.
- Spearhead API integrations between Builder Prime and other company software and technology systems.
- Schedule and coordinate sales appointments, maintain calendars, and document customer interactions.
- Handle sensitive customer information, including utility bills, project records, and other confidential documentation.
- Process post-audit home certification, ensuring required information and documentation are accurate and complete.
- Assist with purchasing and maintaining adequate supplies for the office.
- Help maintain a clean, organized, professional, and safe office environment.
- Prepare and maintain documents, records, spreadsheets, reports, and digital files.
- Provide general administrative support and assist management with special projects.
- Maintain confidentiality of company, employee, and customer information.
Android & Technology Support
- Serve as a knowledgeable resource for Android smartphones and mobile technology.
- Set up and configure Android devices, accounts, applications, and connectivity.
- Troubleshoot common Android hardware, software, Wi-Fi, Bluetooth, mobile data, and application issues.
- Assist with Microsoft Office, OneNote, Teams, Word, Excel, and related services.
- Assist with Google Workspace, Gmail, Google Calendar, Google Drive, cloud storage, and related services.
- Assist with device backups, file management, synchronization, and security settings.
- Research technology issues and identify practical solutions.
- Maintain organized records of company devices, accounts, and technology.

Requirements:
- Reliable transportation and a valid, current Driver's License – Chauffer's License preferred.
- Passing a Background Check and Drug Screen.
- The ability to work in small, tight places with a respirator.
- The ability to work in varying hot or cold environments.
- The ability to lift at least 50 lbs. for sustained periods of time.
- No Experience Necessary – We Will Train!
Impact:
- You will be safety compliant with all company, state, and federal guidelines.
- You will complete pre-trip inspections of equipment and/or vehicles, including paperwork and loaded product, to ensure the accuracy of the order.
